Incubly has over 3 years and while we are scaling up, we need to enhance our internal processes and its coordination. We also need to redefine our social media presence and find a way of communicating with our future employees, partners and customers.
As all of us, the Incubly board, founders and employees, are extremely focused on the great quality of everything we deliver, we are looking for an Executive Assistant to help us grow and succeed without losing our unique culture and high-quality approach.
A candidate for the position should be a strategic and creative decision-maker, be self-motivated while working under minimal supervision, be highly adaptive, welcoming to change and be highly organized.
Your daily responsibilities
Administrative processes execution (controlling, timesheets and invoicing, payroll data preparation, days off planning)
HR administrative processes support (internal regulations, employee and partner agreements preparation)
Manage cooperation and communication with service providers (Medicover, Multisport, …)
Manage logistics of business trips of employees and partners
Internal regulations and procedures development
Maintain professionalism and strict confidentiality with all materials
Organize team communications and plan events, both internal and off-site
Coordination of activities related to the Company’s social media presence and communication
Cooperate with internal company management: board, founders, managers and HR.
Cooperate with some of the key stakeholders in the organizations of our partners and customers (assistants, coordinators, managers, procurement).
We need you to have
Experience in a similar role at a commercial company, preferably in a technology-focused company.
Excellent organizational skills.
Strong attention to detail.
Perfect communication skills (oral & writing).
Proficiency in English.
Would be great if you have
Good understanding of business processes,
Strong time management and prioritization skills

Remuneration: 7,000-10,000 PLN gross/month on employment agreement (UoP) - depending on seniority and experience.
